Full Task List

The Full Task List page is a dashboard featuring a single, full-width task widget. You can reach the page by using the task-list-icon Tasks link in the Axon Ivy Portal menu.

Important

Access Requirement: Only users with the 🔑AccessFullTaskList permission can see the task-list-icon Tasks menu item.

Tip

Depending on your application roles and Portal configuration, you might see not only your tasks but all open tasks.

Overview

On the top of the Full Task List page you see next to the heading Tasks in brackets the overall number of tasks shown to you. Below you find the filter feature. The usage will be explained in the HowTo’s further down this chapter. Finally, you see the list of tasks.

For each task the following key information is shown in the list:

  1. Priority

  2. Pin

  3. Task ID

  4. Name

  5. Description

  6. Responsible user or role

  7. State

  8. Creation Date

  9. Expiry Date

  10. Category

  11. Application (This column is not displayed by default)

Task Details

Access the full set of task data by clicking on Actions then Details.

The task details page is organized into four main sections:

  1. Task status banner to display information that needs attention or that you should take action on.

  4. Documents, these documents once attached to the case are available on all tasks. You may add, delete, rename or preview documents described in the HowTo’s below.

How-to

HowTo: Configure the Full Task List

The full task list page functions as a dashboard accessible from the top-level menu. To customize the task list, navigate to Dashboard configuration.

To restore the dashboard to its default settings, including the menu icon and task list layout, delete the dashboard. Portal will automatically recreate the dashboard with the default settings.

HowTo: Move and Resize Widgets in Task Details

  1. Open the task details of a task

  2. Click on the Edit button to drag, drop and resize widgets.

  3. Click on the Save button to save current state of page and switch to readonly mode.

  4. Click Reset button to reset to default configuration.

HowTo: Attach a Document to a Case

  1. Open the task details of a task

  2. Click the link add-icon Add document

  3. The Add document dialog is opened

  4. Upload a file by clicking Upload here or by dragging the file into the dialog

  5. Click the button Close to close the dialog

HowTo: Rename a Document of a Case

  1. Open the case details

  2. Click on the edit-icon button next to the attachment you want to rename

  3. A dialog is opened to rename the selected document

  4. Update filename as you expect in the input field

  5. Click the button Save to save your change

  6. Filename will be updated and a note about the renaming will be added

HowTo: Remove an Attachment from the Case

  1. Open the task details of a task

  2. Click on the delete-icon button next to the attachment you want to remove

  3. A confirmation dialog is opened

  4. Confirm the deletion with the button Delete

HowTo: Preview a Document of a Task

  1. Open the task details of a task

  2. Click on the preview-icon button next to the attachment you want to preview

  3. A preview dialog is opened

  4. Click the button Close to close the dialog

Note

Supported Document Types:

  • Default: Images (jpg, jpeg, bmp, png), plain text (txt, log), and PDF documents

  • With DocFactory: Word (doc, docx), Excel (xls, xlsx), and email (eml) files

To enable this feature, set Portal settings Portal.Document.EnablePreview to true. For Office documents, deploy DocFactory in the same security context.

HowTo: Add a Note to a Task

  1. Open the task details of a task

  2. Click on the link add-icon Add note below the notes section

  3. The Add note dialog is opened

  4. Enter your note

  5. Confirm your note by clicking the button Save

Note Visibility:

  • Task notes are displayed in the Notes table of the task details and in the History table of its business case

  • If the task belongs to a technical case, notes are also displayed in the History table of that technical case

HowTo: Export a Task History

  1. Open the task details of a task

  2. Click on the link show-more-icon Show more below the notes section

  4. You may export the history by clicking on the button Export to Excel
